Brokerage Coordinator

Job Description Summary

We are seeking a Brokerage Coordinator to support a market leading team of Brokers at a top global real estate services firm. The role consists of execution of work related to commercial real estate transactions and client deliverables. This individual must be a collaborative team player with a can-do mindset and will participate in regular business and team meetings, as requested, to understand and facilitate client goals. This multifaceted role requires someone with strong organizational and project management skills, and the ability to multi-task in a fast-paced environment. The Brokerage Coordinator will be trained and developed to become highly proficient with internal systems and technologies, as well as Workday, Salesforce, Microsoft and Adobe applications.

Job Description

Responsibilities

  • Provide administrative and office support to a local brokerage team
  • Assist with all aspects of meetings and manage active calendars for brokerage team
  • Maintain confidential department records and office files in accordance with internal company procedures
  • Proofread and correct spelling, grammatical, and layout errors
  • Coordinate and assist with collecting, aggregating, and preparing data
  • Update and maintain client database
  • Prepare expense reports, obtain receipts as needed, and reconcile all credit card charges
  • Coordinate travel and administer activities
  • Code and submit team invoices to Accounting
  • Perform special projects as required
  • Assist with updating electronic property listings
  • Assist in the creation and/or editing of presentation materials including flyers, leasing proposals, case studies, email blasts, invitations, etc.
  • Utilize standard marketing-approved templates and graphics while assisting in the creation of presentation materials, etc.

Requirements

  • High School Diploma or GED
  • Minimum of 2+ years of prior office experience
  • Or any similar combination of education and experience
  • Proficiency with Microsoft Office Suite
  • Excellent phone and organization skills
  • Ability to set priorities, meet deadlines, and multitask
  • Strong writing, editing, and proofreading skills
  • Excellent verbal and written communication skills
  • Proven record of providing excellent customer service, both internal and external
  • Excellent interpersonal skills
  • Excellent attendance and punctuality
  • Professional appearance and decorum at all times
  • The qualified candidate will be detail oriented, able to handle multiple projects simultaneously, extremely professional, and customer service oriented

Physical Requirements

  • Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day
  • May involve periods of standing, such as operating at a copier/fax/scanner
  • Regularly required to talk, hear, and use hands and fingers to write and type
  • Ability to speak clearly so others can understand you
  • Ability to read and understand information and ideas presented orally and in writing
  • Ability to communicate information and ideas in writing and orally so others will understand
  • Regularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $26.56 - $31.25
